How to Keep Client Records Organized for Your Salon

A useful record identifies the client, keeps a correct contact and gathers their bookings. Look for the existing profile first and confirm details when you spot differences, instead of automatically creating another entry.

One person can show up under several names

Nicknames, incomplete last names and bookings made by family members can split a record. Use name and phone number to check for matches, without assuming that two people with the same name are the same person. Confirm the details with whoever is booking.

Fix things without losing context

If you find duplicates, check where the appointments ended up before you change any data. Don't promise an automatic merge if your tool doesn't offer one. Keep a review procedure, and avoid deleting profiles with history just to tidy up a list.

Enough information to run the booking

Collect what you need to coordinate the booking. Keep medical records or other sensitive information separate, in a system built for it. Team access should match their tasks, not the convenience of a shared account.

How to put it into practice

  1. Search by name and contact before creating a profile.
  2. Confirm changes to a phone number or email.
  3. Review duplicates that have history before deleting anything.

A common question

Does booking history replace a medical record?

No. They're records with different purposes. Citalu organizes the operational context of appointments.
