How to Coordinate Shared Treatment Rooms and Equipment

To coordinate a shared room, you have to check two kinds of availability: the staff member's and the resource's. Citalu works out the first; your business needs an extra procedure for the second.

Make the constraint visible

List the services that need the same space or equipment. Assign someone to check it before accepting bookings that could overlap. Don't set up a room as a made-up staff member without thinking through how it would affect your catalog and your operation.

Create a single reference for the resource

Keep a record that everyone who coordinates appointments can reach. It can be a separate calendar that someone reviews by hand, but it needs a person in charge and an update with every change. Two separate lists bring back the problem you are trying to solve.

Know when you need another tool

If most of your bookings require automatic assignment of machines, rooms and people, include that need when you evaluate software. Manual blocks can work for a simple operation, but they are not the same as an automatic resource engine.

How to put it into practice

  1. Identify the services that share resources.
  2. Define a person in charge and a single coordination record.
  3. Check both the person and the resource when you book and when you reschedule.

A common question

Does Citalu automatically book a room?

No. Its availability is per staff member. Coordinating the resource has to be handled separately.
