WhatsApp Business API: What It Is and If Your Salon Needs It
The WhatsApp Business API is Meta's official platform that lets a program send and receive WhatsApp messages. A salon needs it for reminders to go out on their own, but you don't have to sign up for it: a connected scheduling app, like Citalu with CITU, already uses it for you.

What the WhatsApp Business API is
It's not an app you install. It's the official connection between WhatsApp and a system, like a scheduling app or a chatbot. With it, the system sends messages on its own, using templates that Meta approves first.
What it costs
Meta charges per message, and the price changes by country and message type. If you hire a provider, you also pay for their service. Check Meta's current price table before you decide, because prices change.
When a salon needs it
When you want a message to go out without you sending it, like a reminder 24 hours before. If you reply by hand, the free WhatsApp Business app is enough.
What changed in October 2026
Since October 1, 2026, Meta also charges for service messages, meaning replies inside the 24-hour window. Each number gets 1,000 free service messages a month. If you plan to hire a provider, ask for the cost under this rule.
Templates: what they are and who approves them
A template is fixed text with blanks for details like the name and the time. Meta reviews it before it can be used. There are three types: utility, like a reminder; marketing, like a promotion; and authentication, like a code. Each type has its own price.
The 24-hour window
When a client writes to you, the system can reply with free text for 24 hours. After that, it can only send approved templates. That's why an automatic reminder is always a template, and its text doesn't change with each send.
What you need to turn it on
You need a Meta business account, a number for the API and a program that sends the messages. That program can be a provider, something built in-house or a connected scheduling app. The first two options require you to set up and maintain templates.
Common mistakes when signing up for the API
Paying for a messaging system with no schedule: the message goes out, but it doesn't know what time the appointment is. Not checking who pays for each message. Sending promotions as if they were reminders: Meta may reject the template.
Automatic reminders without signing up for the API
Citalu is already connected to the official channel. CITU sends reminders from its own number, so you set up nothing and your WhatsApp stays the same. Each plan includes a set number of messages, and you can add credits.

Messages to copy
Replace what is in brackets and send it on WhatsApp.
Hi {{1}}, this is a reminder of your appointment at {{2}} for {{3}} on {{4}}. Tap Confirm to hold your spot.
Hi {{1}}, your appointment at {{2}} has been moved to {{3}}. If that doesn't work for you, reply to this message.
Hi {{1}}, your appointment at {{2}} on {{3}} was canceled. You can pick another time here: {{4}}.
The differences at a glance
| Feature | WhatsApp Business app | WhatsApp Business API |
|---|---|---|
| Price | Free | Meta charges per message |
| Who sends | You, by hand | A system, automatically |
| Messages to your clients | You write them | Templates approved by Meta |
| Setup | Download it on your phone | Connect it to a program |
How to put it into practice
- Count how many messages you repeat each week.
- Separate what needs your reply from what can go out on its own.
- If what repeats is reminders, use a scheduling app connected to the official channel.
Frequently asked questions
Is the WhatsApp Business API free?
No. The WhatsApp Business app is free, but with the API Meta charges per message.
Do I need the API to use Citalu?
No. CITU already uses the official channel. You only confirm your number in the dashboard.
Is there a free version of the API?
Creating the account costs nothing, but Meta charges for messages. Each number gets 1,000 free service messages a month, and templates are paid separately.
What is the WhatsApp Cloud API?
It's the version of the API that Meta hosts on its own servers. Your provider or your system connects to it.
Can I use the API to send bulk messages?
Yes, but only to people who agreed to receive them, and only with approved templates. Meta limits sends based on the quality of your number.
What is a WhatsApp API provider?
A company that connects your business to Meta's platform and gives you a dashboard to send messages. It charges for its service on top of what Meta charges.
How much does each message cost?
It depends on the country and the type of message. Check Meta's current price table. In Citalu, each plan includes a set number of messages, and you don't pay Meta separately.
Do I have to change my number to use CITU?
No. CITU sends from its own number, and your chats stay in your WhatsApp.
